As employees in Los Angeles, our Project Manager Assistants are responsible for a variety of duties. These include performing word processing tasks, managing general filing, and handling timekeeping and records management. They also assist with correspondence and process project-related financial documents. Our Project Manager Assistants self-manage their workload distribution and monitor, record, and report administrative progress, as well as quality and safety issues. They coordinate and maintain project financial documents and software system inputs, ensuring compliance with company policies and procedures. Additionally, they act as the project administrator for customer interactions, implement project process improvements, and handle confidential information. They are proficient problem solvers who can work independently and manage multiple projects simultaneously. Other responsibilities include managing calendars, scheduling meetings, and arranging travel itineraries. They also assist the program accounting department by spot checking costs and reviewing project site expenses. Our Project Manager Assistants handle telephone inquiries, track vacation and time off requests, and maintain attendance databases. They interact with program-level billing, reporting, and metrics, and prepare daily reports for the purchasing manager. They verify purchase orders for accuracy, open and sort incoming mail, and create and revise complex Excel spreadsheets.
