They are responsible for accurately entering purchasing information into the accounting system, which includes assigning the correct GL codes, project numbers, and sales tax percentages. They also ensure that all purchases have the necessary approvals in accordance with the DOA (Delegation of Authority) guidelines. Once the purchase is ready, they prepare and submit the order to the vendor and track the order confirmations. In addition, they verify the taxability of materials and handle any discrepancies between invoices and purchase orders, coordinating returns or credit memos as needed. They also assist in processing vendor returns by adjusting purchase orders accordingly.
